What do I need for my first file creation?
As a new client, you are required to furnish us with your company logo, scope of work and/or client specification, this is used to ensure that the file is either company or client specific, we do not create generic files.
The below documentation is also normally required:
- Letter of Good Standing (with a Compensation Commissioner)
- Staff ID documents
- Staff Medicals *
- Public Liability Insurance
- Client appointment letters *
- Client Specification / Baseline Risk Assessment *

What does a health and safety file include?
This can vary drastically, however the easy answer is all documentation required by the client or relevant legislation based on the scope of work. During the file creation process one of our consultants will conduct an assessment to ascertain what is legally required for your company and/or project specific file.
This includes, but is not limited to:
- Policies and Procedures
- Risk Assessments
- Relevant Plans e.g., Safety Plan, Environmental Plan, Fall Protection & Rescue Plan
- Legal Appointment Letters
- Inspection Registers
- Method Statements

Why is a health and safety file necessary?
A Safety File is a record of the safety management system that focuses on documentation that drives occupational health and safety compliance. The Safety File serves as a compliance tool to steer and guide the employer and employees to a healthy and safe working environment, it also acts as the employers’ burden of proof of compliance to safety specifications, the Occupational Health & Safety Act and associated Regulations.
Required qualifications and documents for safety file assembly?
Based on your scope of work and/or client requirements certain competencies are required. We provide some competencies/certificates as we take responsibility for documents that we create.
We provide the following certificates:
- Risk Assessor Competency
- Incident Investigator Competency
- Fall protection Plan Developer Competency – (if working at heights is conducted by the client)
- Safety Officer Competency – (if required by the client)
You need to provide the following certificates:
- First Aid Competency – (if you have more than 10 employees on-site or if required by the client)
- SHE Rep Competency – (if you have more than 20 employees on-site or if required by the client)
- Fire Fighting Competency – (if you are conducting work that can result in fire)
- Competency for Manager & Supervisor (legal liability and/or technical competency) – (if required by the client)
- Working at Heights – (where working at heights is conducted)
- ETC. depended on scope of work
At OHSE Resolved we offer over 50 unit standards and are more than willing to assist with getting the above competencies in place.
The next steps following safety file completion?
After we have created your health and safety file, we will send a competent safety officer to deliver the file and assist with the implementation process. The implementation duration will depend on the complexity of the business and the file e.g. construction file implementation normally takes a couple of hours depending on the staff count whereas company files can take a couple of implementation sessions.
Details of safety file implementation process?
The implementation process usually consists of the following:
Discussing and signing/completing created:
- Plans e.g., Safety Plan, Environmental Plan, Fall Protection & Rescue Plan
- Legal Appointment Letters
- Inspection Registers
- Method Statements
- etc.
Frequency of post-implementation site visits?
We offer ongoing services after safety file creation, and recommend a monthly visit to ensure continual compliance and implementation of the safety file. This can also in some cases be a requirement from your client. We do however leave this option to you and you can tick this as a requirement on the provided proposal.
